!±8± Best Practices paperless office - Establish a standard naming convention for your paperless office

The concept of the paperless office is a reality. And with today's technology is cheaper and easier to reach even a small home office. To maintain the success of "paperless office", it is important for you to establish a simple naming convention for all your electronic documents. If you follow a well-defined naming convention, it is easier to find documents, use again and again and stay paperless office.

A naming convention is simply a well-structuredIt set the standard for electronic documents. Keep things simple and you can understand logically, so that anyone can easily access your documents, and follow your naming guidelines.

For example, a simple and logical name are the bills for your home:

[Date]. [Company]. [Type]. Pdf

With this convention, you can share your captured "bill" statements have the following fileName:

2010_01_01.ComEd.bill.pdf 2010_01_15.Verizon.bill.pdf 2009_12_15.Verizon.contract.pdf

Immediately, only to look at the file name, you can say that these documents are the electricity bills and telephone bills. You can also immediately identify the dates for each statement invoice. In the last example, you can quickly see that this is the agreement "contract" with your phone service.

This is just a simple example of a naming convention. WhenDefine your own naming standards, maintain a structure that best support as you think and organize your office.

And not for the stress on your naming structure perfectly at first. The nice thing about a paperless office with all your documents in electronic format (copy) files on your computer you can easily change your standards and naming tree of folders in the future.

I recommend the "data" used in the first part of the file, andFormat as [YYYY_MM_DD]. Use the full [four-digit year], then [two-digit month] and [two-digit day]. Following this special format for dates before all the file names, then you have the opportunity to view the file, the type of "name", so you have another way to quickly obtain the documents in chronological order within each folder.

How to develop and maintain your paperless office for the simple naming convention, along with a logical and well-defined"The tree of folders" will go a long way to keep your electronic documents organized and efficient.

Dell Vs HP

!±8± Dell Vs HP

This is a problem with me, if a customer asks for a recommendation, to combat what PC to use in their environment. The answer is never a clear decision to do a few questions to clarify a concern of four things, pricing, availability, reliability and customer service. It 'a hard thing to explain, and have someone understand that all four of these concerns are unique at the same time and fully connected.

That's what I found in myExperiences.

When it comes to price, usually cheaper than Dell. Buy HP than strategically, and build their machines differently than HP. On the one hand, Dell, with few exceptions, is based on measuring all of their machines. They have orders in hand and are 90% guaranteed their money before they ever ship a car, especially on the lucrative consumer side, where the margins are very healthy. HP instead, pre-built much of their units and must rely on intelligent, intuitiveMarketing to make their money. This also means that HP has additional costs, which Dell has not withstand such a massive inventory reduction.

The downside of this is directly available for HP-corner. The HP models ordered today and will arrive tomorrow, and Dell has a standard 7-10 day construction period. Heaven help us if a part is not available for the construction, then the lead time, which, when pushed to do so. Dell does not provide complete their deliveries onlyEstimates. If you need to become a project where you absolutely need to work a particular place at a particular time, HP is the best choice from Dell.

Dell tends not to standardize the internal parts of all their machines. This means that if you are 100 Dell Optiplex 960 (or any other model) with the same configuration to take to open yourself, you will notice that 1GB stick of RAM from different manufacturers each have the power in each of its different manufacturers , hardUnits, etc., the same thing.

HP has standardized parts in a series or pattern. Take 100 and you will find NV516UT consistency and uniformity throughout the building. The RAM is the same hard drive, DVD-RW, power, etc. HP also has a greater depth and breadth to its portfolio of HP brand products, so if you need your office and desktop equipment HP, an HP switch, connected to an HP server with HP storage-dependent ... No problem! If 'Printer, keyboard, mouse, scanner, fax, UPS, external HD, etc, HP can do everything.

This is important, depending on the degree of standardization, looking at a machine in your environment. If it is not important, or at least moderately important, Dell is just fine. If it is very or extremely important, HP is the best choice. Why? The answer is that every manufacturer of various components in a machine that QC is according to different standards. A stick of RAMKingston will be subjected to various tests as a stick of Crucial board, or axioms, o. A hard drive from Seagate will be different from the same form, fit-function trip from Axiom, Fujitsu, Hard Fantom, Western Digital, etc.

When it comes to service, this is a bit 'as the question of reliability ... It 'a matter of taste. Both companies have their strengths and weaknesses. Dell offers an excellent forward with the construction of their warranty and ease of implementation, the guarantee issurprising. If the service number (serial number) for the machine and have authorized the purchaser, Dell can help with almost all the problems that this machine. HP has a warranty against mediocrity, but additional levels of support are pretty cheap to add. Call 1-800-HP-INVENT can sometimes attempted, but usually goes pretty smooth. HP where all previous records in the on-site support, especially for server and storage products.

So at the end of the day there is no realWinners and continue my struggle. I just need to hear what is important to you and then decide if Dell or HP to better meet your needs. Maybe I'll decide that Lenovo and Acer fits better than two. What my clients are convinced that IT Info Guy is an adequate solution found.
